Templates and document output
Start with a PDF containing fillable fields, then map each field to an Airtable value. A template can reuse the same layout for invitations, certificates, contracts, or other record-based documents without rebuilding the design for every record.
Choose an output attachment field and optionally use a field to provide the filename. Portrait or landscape output and flattening options help fit the document to its intended use. Flattening makes the populated fields part of the finished document rather than leaving them editable.
Keep the template and Airtable data aligned, and preview a representative result before generating the collection. For a document designed from HTML instead of an existing PDF template, use the separate HTML-to-PDF workflow.
Free online tools for creating a template
You can create or add fillable fields to a PDF using free online tools such as:
- PDF24 Form Editor: add or edit interactive form fields in an existing PDF.
- PDFescape Online: create a basic PDF form or add form fields to an existing document.
- Sejda PDF Forms: start with a blank document or an existing PDF and add fillable fields.
Free usage limits vary by service. Download the PDF with its fillable fields intact, then upload it to PDF Generator and map the fields to Airtable.
Examples of workflows
Create personalized certificates
Use a certificate template with fields for a participant’s name, course, and completion date. Store the generated file on the participant’s record.
Prepare documents from an approved view
Filter Airtable to records whose details are complete, then generate documents only for that view. The view determines which records are processed; mappings determine what goes into the PDF.
Fill a contract template with record details
Reuse a fillable template for customer or project details. Where a supported image mapping is configured, an existing PNG or JPEG attachment can be inserted into the PDF. Adding an image is separate from collecting or validating an electronic signature.
How to get started
Upload the template, map its PDF fields to Airtable values, and choose an output attachment field. Review a sample PDF before processing the remaining records.
Good to know
The template must contain fillable fields. This workflow fills a template; it does not design a PDF layout from scratch.
